This policy refers to Buckinghamshire Performing Arts Academy Ltd (“BPA Academy”, “BPA”, company number 16350694). It explains how we use the personal data we collect from you when you use our website, register with us, contact us by email or through our social media accounts.

What data do we collect?

BPA collects the following data:

  • Personal identification information (name, email address, phone number, postal address, date of birth, etc.).
  • Parent/carer and emergency contact details for our students.
  • Any relevant medical and first aid information related to students at the academy.
  • Headshot images and general images associated with shows, classes and other BPA productions.
  • Records of fees and ticket payments. Card details are handled by our payment provider and are not stored by BPA.

How do we collect your data?

You directly provide BPA with most of the data we collect. We collect and process data when you:

  • Register or apply online for the academy, Saturday Academy, Sixth Form or any classes, productions and newsletters.
  • Book a trial class or tickets for our shows.
  • Voluntarily complete a survey or provide feedback by email.
  • Use or view our website via your browser’s cookies (see Cookies below).
  • Complete any forms associated with the academy or productions.

BPA may also receive your data indirectly from the following sources:

  • The Beaconsfield School (TBS), for students on our Sixth Form programme.
  • Our payment provider, when you pay fees or buy tickets online.

How will we use your data?

BPA collects your data so that we can:

  • Process your application or registration.
  • Run classes, registers, fees and payments.
  • Email you with information about classes, shows and services we think you might like.
  • Ensure students’ wellbeing and safety, and keep parent/carer and next of kin contact details up to date.
  • Meet our safeguarding responsibilities, as set out in our Safeguarding Policy. Where a child’s safety requires it, this can include sharing information with The Beaconsfield School (TBS), Danes Educational Trust and other agencies.

How do we store your data?

BPA securely stores your data in its Google Workspace account and in its secure online registration and payment systems.

BPA will keep your registration data for 3 months after a student leaves the academy. Once this time period has expired, we will delete your registration details from our systems. Safeguarding records are kept and transferred as set out in our Safeguarding Policy, and payment records are kept for as long as the law requires.

Marketing

BPA would like to send you information about products and services of ours that we think you might like.

If you have agreed to receive marketing, you may always opt out at a later date. You have the right at any time to stop BPA from contacting you for marketing purposes.

If you no longer wish to be contacted for marketing purposes, please email home@bpa-academy.co.uk.

What are your data protection rights?

BPA would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

  • The right to access – you have the right to request copies of your personal data from BPA.
  • The right to rectification – you have the right to request that BPA correct any information you believe is inaccurate, or complete information you believe is incomplete.
  • The right to erasure – you have the right to request that BPA erase your personal data, under certain conditions.
  • The right to restrict processing – you have the right to request that BPA restrict the processing of your personal data, under certain conditions.
  • The right to object to processing – you have the right to object to BPA’s processing of your personal data, under certain conditions.
  • The right to data portability – you have the right to request that BPA transfer the data that we have collected to another organisation, or directly to you, under certain conditions.

Cookies are small text files placed on your device to collect standard internet log information and visitor behaviour information. The cookies our website uses are listed below.
